momentLeader Privacy Policy

Last updated: 19 August 2026

1. Who are we and what is this Policy for?

1.1 Moment Leader Pty Ltd (ABN: 65 664 681 289) (“Moment Leader”, “We” or “Us”) is a professional training and coaching company that provides leadership development and coaching tools.

1.2 Moment Leader is a separate business that was established by Bendelta, Australia’s largest leadership development consultancy. Our mission at Moment Leader is to improve the experience of work and life through everyday moments. We aim to create a supportive space for organisations and users to learn, reflect and plan for moments that matter.

1.3 Your privacy is important to us and this Privacy Policy (“Policy”) sets out how we collect, hold, use and disclose personal information. This Policy applies to all personal information collected by us, or submitted to us, whether offline or online, including personal information collected or submitted through our website, our Moment Leader AI-powered coaching application accessible via mobile application or desktop (“App”) and our Moment Leader platform (together, our “Services”).

1.4 While we may collect personal information about you when you interact with us, in some circumstances, we may collect information about you from other organisations and affiliated partners, such as Bendelta. For example, if you have participated in a Bendelta leadership program and your organisation or employer has chosen to onboard you to our App to support your learning. This is explained in our Privacy Policy.

1.5 Other privacy related notices and terms and conditions may apply to you in connection with the provision of our Services, such as:

  • privacy collection notices which may be provided to you at the time your personal information is collected; or
  • if your access has been facilitated by your employer or organisation, your organisation may impose additional terms which apply to your use of the App and which may address how your organisation handles your personal information more generally.

1.6 This Policy does not address how your organisation or employer or other affiliated partners may handle your personal information before sharing it with us. We encourage you to check their privacy policies to learn more about their information handling practices.

1.7 We may change this Policy from time to time by publishing updates on our website. We encourage you to check periodically to make sure you are up to date with our current Policy.

Your contentWhen you interact with us and our Services, we may collect:

  • any content you submit to us when you engage with our prompts and tools, including your free-text inputs and chat transcripts from AI coaching sessions (‘pauses’), your questions and answers to prompts, posts, comments, reflection entries, the feedback you share with other users, your goals and any responses to our structured content, such as updating your behaviour, mood, or goal trackers.

We may use AI technologies to collect this information, please see Section 4 (How do we use AI) for more information.

We do not actively solicit personal information about third parties and we request that users do not include identifiable information about other individuals (such as colleagues, clients or managers) in their interactions with our App, including our AI coach.

Aggregated data

We may also collect aggregated data, such as statistical or demographic data for analytic and internal business purposes.

Aggregated data could be derived from your personal information but will not be used by us to directly or indirectly reveal your identity.

Sensitive information

We may collect sensitive information with your consent.

Usually this will occur when you include sensitive information in the content you submit to Moment Leader, including in free-text inputs you provide to the App during coaching sessions.

As the App accepts open-ended text input, you may incidentally disclose sensitive information, such as information about your health and wellbeing, any disabilities, your racial or ethnic origin, your political opinions, religious beliefs or affiliations. You choose what information you provide, and we encourage you to consider the nature of information you input into the App.

Can I choose not to provide any personal information?

You can choose not to provide information to us or deal with us anonymously, but in general some information about you is required for you to access our App, such as to create a user account. This means that in some circumstances, if we do not collect your personal information, we may not be able to provide you with the products and/or services you have asked for.

3. How do we collect your personal information?

We generally collect your personal information directly from you when you interact with us, including through the use of our Services, when you participate in surveys or questionnaires, or when you subscribe to our mailing list.

However, in some circumstances we may collect some of your personal information from third parties, such as:

  • your employer or organisation, where your access to Moment Leader is provided through them (for example, your name and email address may be provided by your organisation to register you as an authorised user).
  • our affiliated entities and partners, such as Bendelta (for example, if you have participated in a Bendelta leadership program and your organisation or employer has chosen to onboard you to our App to support your learning).
  • publicly available sources.
  • any information you provide to third parties that are associated or whose products or services are integrated with Moment Leader.

For other methods of collection, please see “Online Activity” below.

4. How do we use AI?

4.1 Moment Leader may use artificial intelligence (“AI”) technologies to assist in delivering our Services, to enhance your experience using our Services, and to analyse data. We may use AI tools to process personal information to interpret, understand, identify patterns, and make sense of content you submit to our Services, including our App, in order to generate appropriate prompts, questions, chats, insights and guidance tools for you, and to personalise content for you.

How we use AI in our App

4.2 We use AI to enhance the functionality of our App. Our App includes an AI coach which we have designed to guide you through structured coaching sessions (‘pauses’) and to help you regulate, reframe and consider an intentional action in challenging leadership moments.

4.3 Our AI coach is designed to support human judgement, not replace it. It asks questions and offers perspectives based on our Moment Leader coaching methodology. It does not make decisions on your behalf or on behalf of your organisation, and it does not provide clinical, financial, legal or other professional advice.

4.4 When you use our AI coach, your interactions are securely sent to our large language model (“LLM”) provider so that it can generate a coaching response within tightly constrained parameters defined by Moment Leader.

4.5 Our LLM provider does not use your session content to train its AI models. Our current LLM provider is Anthropic (Claude), accessed via Amazon Web Services (AWS Bedrock). De-identified session content is processed on AWS infrastructure in Australia to generate a coaching response and for content moderation and safety purposes. Your session content is retained by them only on a temporary basis and in most cases it is deleted within 30 days except where longer retention is required to enforce the provider’s usage policies or to comply with the law. We may change our LLM provider from time to time and will update this Policy accordingly.

Kind of personal information used by AI

4.6 When you interact with our AI coach as a user, we may collect the following types of personal information that will be handled by AI:

  • your name (for personalisation),
  • the content of your free-text inputs during a pause session (which may include sensitive information you choose to provide, such as information about your health or wellbeing), and
  • your responses to structured session context (such as the moment you have named and the emotional state you have selected),

(together, “session content”).

Kinds of decisions made or assisted by AI

4.7 We may use AI in connection with our AI coach to handle your personal information to:

  • respond to your free-text inputs and generate personalised coaching responses tailored to your session content; and
  • direct you to external support resources (for example, if your inputs indicate acute distress).
5. How do we use your personal information?

5.1 We use your information for the following purposes:

  • To provide and optimise our Services to you and your organisation, including to provide a customised user experience while interacting with our products and services based on your information (particularly your own inputs to our tools).
  • To identify and develop new services and products that you, your organisation or our clients might be interested in.
  • To conduct, monitor and analyse our business and internal operations.
  • To communicate with you, including to send you updates, notifications, newsletters and new service or product offerings, or respond to your queries or complaints.
  • To market our Services, and measure, gauge and improve the effectiveness of our marketing.
  • For security purposes, such as detecting security incidents or illegal activities, fixing problems with our services, and complying with our legal obligations.
  • To comply with our legal obligations.
  • To test and improve the AI system prompts that we use in connection with our Services, including our AI coach, using de-identified or aggregated session-level data. Our LLM provider does not use your personal information to train its underlying LLM.
  • To produce aggregated or de-identified research, reports, or insights, which may be published, shared with clients, or used in marketing or thought leadership materials. We will only use your personal information for these purposes where it has been aggregated or de-identified such that no individual is reasonably identifiable.

5.2 From time to time, we may review your session content for content moderation and safety purposes.

5.3 We may retain and use your session content to maintain and improve your individual experience of our App, and where possible, we use de-identified or aggregated session-level data to conduct product analytics and refine our system prompts and product design.

6. To whom do we disclose your personal information?

6.1 We may share your information with third parties in limited circumstances. These include:

  • Our related companies and independent contractors who need the information to help us provide our Services or process information on our behalf.
  • Suppliers that help us provide our services to you, such as:
    • cloud hosting and storage services that help us securely store your information,
    • authentication services that help us secure your account,
    • email delivery services that help us stay in touch with you,
    • our LLM provider which processes your session content to generate AI coaching responses; and
    • our user database providers.
  • Suppliers that help us with our marketing and to understand and enhance our Services. These include vendors in the areas of user experience and analytics (such as Amplitude) that receive app event data, device and session metadata and usage patterns.
  • Government or regulatory authorities or other organisations as required by law.
  • Professional service providers and advisors.

  • If your access to our App has been facilitated by your employer or organisation, we may share limited information with your employer or other organisation. This is limited to Device/IP/Analytics information unless you have given your express consent. We do not share your free text inputs with your employer or the organisation.

Do we share your personal information overseas?

6.2 While our App hosting and authentication services are hosted in Australia, some of our suppliers may be located and we may disclose or otherwise transfer, and they may receive, access, process, host or store your personal information, outside Australia in order to provide their services to us. These suppliers are generally located in the United States of America.

7. How do we store and keep your information secure?

7.1 We take reasonable steps to keep your personal information secure. We use a variety of physical and electronic security measures to keep your personal information secure from misuse, interference, loss or unauthorised access, use or disclosure. These include training our staff in how to keep your information secure, and using trusted service providers (including cloud storage providers) to store your information.

7.2 However, we cannot guarantee the safety of your personal information. No online service is absolutely secure, and information provided by you in connection with our Services is provided at your own risk.

7.3 Our Services and our communications with you may contain links to websites operated by third parties. Unless we tell you otherwise, we are not responsible for the privacy practices or content of those linked websites. The privacy policies that apply to those websites may be different from this Policy, so we encourage you to read them carefully.

8. Online Activity

8.1 Our Services, including our website and App, use cookies. A cookie is a small file stored on your web browser if you allow it. We use session cookies to maintain contact with you throughout a browsing session and persistent cookies for statistical purposes and to improve Moment Leader.

8.2 We do not use cookies to identify you, just to improve your experience. Some cookies are necessary for essential functions of our Services. Others may be used for personalised advertising. You have control over the cookies implemented and your consent is required before any cookies are activated. However, if you remove or block cookies please be aware that your experience may be affected.

8.3 We use analytics services to help us better understand user traffic so we can improve our Services. Although this data does not generally identify you, it is possible that under certain circumstances we may connect it to you (for example, where you are logged on to your account).

8.4 We and our partners also collect information such as the pages you access on our website, the documents you download, the amount of time you spend on a page, which links you use to access our site and the type of device and browser you use. You can turn off push notifications by updating your device settings.

9.1 We will not keep your personal information for longer than we need to. In most cases, this means that we will only retain your personal information for the duration of your relationship with us (for example, for the time you have an active user account with Moment Leader). Sometimes we may need to retain your personal information for a longer period to comply with the law. We may also retain your information in an aggregated and deidentified manner for the purposes of ongoing analytics and for the research and reporting purposes described in this Privacy Policy.

10.2.3 The right to request that we erase your personal information.
